This page outlines how bookings are confirmed, when payments are due, how cancellations and refunds work, what happens if your plans change, and what you're responsible for before you travel. Whether you're booking a wildlife safari, a Great Migration safari, a Kilimanjaro climb, a Zanzibar beach holiday, a safari + Zanzibar combination, a honeymoon trip, a family safari, or a tailor-made Tanzania itinerary, the same booking, payment, and cancellation terms apply. Payment Terms

A 50% deposit is due at the time of booking confirmation. The remaining 50% balance must be paid at least 30 days before your safari, Kilimanjaro climb, or Zanzibar tour start date. If you book within 30 days of your start date, full payment is required immediately. We recommend booking early to secure accommodation, guides, vehicles, Kilimanjaro arrangements, Zanzibar hotels, and seasonal availability — especially during peak Great Migration and high season periods.

Cancellation

Cancellation Policy

Cancellation requests must be made in writing and are effective once received by Wild Flip Safaris. The cancellation fees below help cover supplier commitments, accommodation reservations, guide and vehicle planning, permits, and park logistics that may already be secured for your trip.

Refunds

Refund Policy

Refunds depend on the cancellation timing shown in the table above. Cancellations made 0–14 days before the trip start date are non-refundable. If Wild Flip Safaris must cancel your tour, we will offer an alternative of equal value or a full refund. Beyond this, any refund may also be affected by non-refundable supplier costs, park fees, permits, flights, hotel or lodge cancellation rules, and bank or payment-processing charges where applicable.

Changing Your Trip After Booking

You may request itinerary changes after booking. These may incur additional costs depending on accommodation availability, supplier terms, park permits, flights, guide and vehicle logistics, Kilimanjaro route arrangements, Zanzibar hotel terms, and activity providers. Wild Flip Safaris will always try to help, but cannot guarantee that every change request can be accommodated.

Our Commitment

If Wild Flip Safaris Needs to Change or Cancel a Trip

Wild Flip Safaris may need to adjust an itinerary due to weather, road closures, park regulations, safety concerns, government regulations, supplier issues, or other unforeseen circumstances. Safety, conservation rules, and legal compliance always come first.

  • We will aim to provide a suitable alternative where possible.
  • If we must cancel the tour entirely, we will offer an alternative of equal value or a full refund.
  • We will communicate any changes to you as early as possible.
  • Decisions affecting safety or conservation compliance are non-negotiable.
Strongly Advised

Travel Insurance

All clients are strongly advised to purchase comprehensive travel insurance as soon as possible after booking — ideally within days of paying your deposit, so cancellation cover applies to the widest range of circumstances.

Your policy should cover:

  • Medical emergencies

  • Trip interruption
  • Lost or delayed baggage
  • Personal liability
  • Emergency evacuation
  • Kilimanjaro trekking / altitude cover (if climbing)
  • Adventure activity cover (where relevant)

Travel insurance is the client's responsibility. Wild Flip Safaris can provide itinerary details to support your application, but you must confirm policy suitability — including Zanzibar-specific requirements — directly with your insurer.

Your Responsibility

Health, Fitness & Safety

You are responsible for ensuring you're in suitable health and physical condition for the activities you've booked. Kilimanjaro climbs, long safari drives, walking activities, beach activities, and cultural visits may require different levels of fitness. You must disclose medical conditions before travel, and should consult a doctor or travel clinic about vaccinations, yellow fever requirements, malaria prevention, personal medication, altitude considerations, and other health precautions. Please follow your guide's instructions at all times — they are there for your safety.

Your Responsibility

Passports, Visas & Travel Documents

You must carry a valid passport and are responsible for arranging any required visas, permits, vaccination documents, insurance documents, flight tickets, and other travel documents. Wild Flip Safaris is not responsible for documentation problems, visa denial, or refusal of entry. Please check the official Tanzania Immigration/eVisa requirements and any Zanzibar-specific requirements before departure.

Conservation

Wildlife, Park Rules & Conservation

Tanzania's wildlife lives in its natural habitat, so sightings are never guaranteed. You must follow national park rules, conservation regulations, and your guide's instructions at all times. Please do not feed wildlife, leave vehicles unless instructed, disturb animals, litter, or pressure guides to break park rules. Responsible behavior protects guests, guides, wildlife, and the environment for everyone who visits after you.

Client Conduct

Wild Flip Safaris may remove a guest from a tour, with no refund, if their behavior is disruptive, dangerous, offensive, illegal, abusive, threatening, or harmful to staff, guides, wildlife, communities, suppliers, or other guests. Examples include ignoring guide safety instructions, harassing staff or guests, damaging property, disturbing wildlife, breaking park rules, arriving under the unsafe influence of alcohol or drugs, or repeatedly delaying the group.

Media

Photography & Video

Wild Flip Safaris may use photos or videos taken during safaris for promotional purposes, unless you request otherwise in writing. If you'd prefer not to appear in marketing photos or videos, please let us know in writing before or during your trip. Please also ask permission before photographing local people or communities, and note that drone use may be restricted and must follow local rules and permits.

Liability

Liability & Events Beyond Our Control

Wild Flip Safaris, its employees, and agents are not liable for illness, injury, death, damage, loss, delay, or failure to perform caused by events beyond reasonable control — including acts of God, war, terrorism, pandemic, civil unrest, strikes, government regulations, severe weather, road closures, park restrictions, or other unforeseen circumstances. This is one of the key reasons comprehensive travel insurance is strongly recommended.

Legal

Governing Law

These terms are governed by the laws of the United Republic of Tanzania. Any legal disputes shall be handled in Tanzanian courts.

When is my booking confirmed?+

Your booking is confirmed once Wild Flip Safaris receives your deposit payment and acknowledges your booking in writing — typically by email or our official messaging channel. Until you receive this written confirmation, your trip dates, accommodation, and arrangements are not guaranteed. We recommend booking as early as possible, especially for popular travel windows like the Great Migration season, peak Kilimanjaro climbing months, or Zanzibar high season, since availability for accommodation, guides, and vehicles is limited.

How much deposit is required?+

A 50% deposit of your total trip cost is required at the time of booking confirmation. This deposit secures your dates, accommodation, vehicle, and guide arrangements. Once we receive and acknowledge your deposit in writing, your booking is officially confirmed. The remaining balance is then due according to the payment schedule outlined in our Payment Terms section above.

When is the balance payment due?+

The remaining 50% balance must be paid at least 30 days before your safari, Kilimanjaro climb, or Zanzibar tour start date. We recommend paying this promptly to avoid any risk to your confirmed arrangements. If you have questions about your specific balance deadline, please contact your Wild Flip Safaris consultant, who can confirm the exact date based on your itinerary.

What if I book within 30 days of departure?+

If you book within 30 days of your trip's start date, full payment is required immediately to confirm the booking. This is because there is limited time to secure accommodation, transport, guides, and any required permits. We always try to accommodate last-minute bookings where possible, but availability can be limited, so earlier bookings are strongly recommended whenever your schedule allows.

How do I cancel my booking?+

Cancellation requests must be made in writing — by email to info@wildflipsafaris.com or through our official WhatsApp/messaging channel. Your cancellation becomes effective on the date Wild Flip Safaris receives it, not the date you decide to cancel. Cancellation fees are calculated based on how many days remain before your trip start date, as shown in our Cancellation Policy table above.

What cancellation fees apply?+

Cancellation fees depend on how far in advance you cancel: 15% of the total cost if you cancel 60 or more days before your trip, 30% if you cancel 30–59 days before, 50% if you cancel 15–29 days before, and 100% (no refund) if you cancel within 0–14 days of your start date. These fees help cover supplier commitments such as accommodation, guides, vehicles, and permits that are often already secured on your behalf.

Will I receive a refund if I cancel?+

Any refund depends entirely on when you cancel. If you cancel 60+ days before your trip, you'll typically receive 85% of your payment back after the 15% fee; this percentage decreases the closer you cancel to your departure date, down to a full 100% cancellation fee (no refund) within 14 days of travel. Refunds may also be affected by non-refundable supplier costs, permits, or bank charges, where applicable. This is why we strongly recommend comprehensive travel insurance.

What happens if Wild Flip Safaris cancels my trip?+

If Wild Flip Safaris needs to cancel your tour — for example due to safety concerns, government regulations, or other significant unforeseen circumstances — we will offer you an alternative trip of equal value, or a full refund. We will always try to communicate any necessary changes as early as possible, and safety and legal compliance will always guide our decisions.

Can I change my travel dates after booking?+

Yes, you can request a date change after booking, and we'll do our best to accommodate it. However, date changes are subject to availability of accommodation, guides, vehicles, and permits, and may affect your total price — particularly if your new dates fall in a different season. Please submit date change requests in writing as early as possible to give us the best chance of securing your new preferred dates.

Can I change my itinerary after booking?+

Yes, itinerary changes such as adding Zanzibar or Kilimanjaro, changing your safari route, or upgrading accommodation can usually be arranged after booking. However, these changes may incur additional charges depending on accommodation availability, supplier terms, park permits, and logistics that may already be reserved. We will always try to accommodate your request, but we cannot guarantee every change is possible.

Is travel insurance required?+

While not contractually mandatory under our current terms, comprehensive travel insurance is strongly advised for every client. It is your responsibility to arrange suitable cover. Insurance protects you financially in situations our cancellation policy and liability terms don't cover — such as medical emergencies, trip interruption, evacuation, and lost baggage. We recommend purchasing your policy as soon as possible after booking.

What travel insurance should I buy?+

Look for a comprehensive policy that covers medical emergencies, trip cancellation and interruption, lost or delayed baggage, personal liability, and emergency evacuation. If you're climbing Kilimanjaro, make sure your policy specifically covers high-altitude trekking and rescue/evacuation at altitude — many standard travel policies exclude this. If you're adding Zanzibar, check whether any island-specific requirements apply. Always confirm exact coverage details directly with your insurer.

Who is responsible for visas and travel documents?+

You are responsible for ensuring you carry a valid passport and arrange any required visas, permits, and vaccination documents for travel to Tanzania and Zanzibar. Wild Flip Safaris is not responsible for documentation issues, visa denial, or refusal of entry. We recommend checking the official Tanzania Immigration eVisa requirements well in advance of your trip.

Are wildlife sightings guaranteed?+

No. Tanzania's wildlife lives freely in its natural habitat, so sightings of specific animals — including Migration river crossings or particular species — can never be guaranteed. Our experienced guides do everything possible to maximize your chances based on seasonal patterns and animal behavior, but nature is unpredictable. This is part of what makes a genuine safari experience special and authentic.

Can Wild Flip Safaris use my photos or videos?+

Wild Flip Safaris may use photos or videos taken during your safari for promotional purposes — such as our website, brochures, or social media — unless you tell us otherwise in writing. If you'd prefer not to appear in any marketing material, simply let us know in writing before or during your trip, and we will respect that request.

What happens if a guest behaves badly during the trip?+

Wild Flip Safaris reserves the right to remove a guest from a tour, with no refund, if their behavior is disruptive, dangerous, offensive, illegal, or harmful to staff, guides, wildlife, communities, or other guests. This includes ignoring safety instructions, harassing others, damaging property, or disturbing wildlife.
